Sparrow Crane Hire Limited ("we", "us", "our") is committed to protecting your personal information. This policy explains what we collect when you use https://www.sparrowcrane.co.uk (the "Site"), why we collect it, who we share it with, and what rights you have.

By continuing to use the Site, you accept this policy. If you do not agree with it, please stop using the Site. Your choices about cookies are handled separately and are described in section 5.

2. Information you give us

When you complete an enquiry form on the Site, we ask for:

  • Your name
  • Your email address (required)
  • Your telephone number
  • Your company name
  • The site or location address for the work
  • The crane or equipment you are interested in
  • The details of your enquiry

If you apply for a vacancy, we collect the information you provide in that application, which may include your employment history and any documents you attach.

Please do not include sensitive personal information in an enquiry, such as health information, as we do not need it to answer you.

3. Information we collect automatically

When you visit the Site we automatically collect:

  • Your IP address
  • The pages you view, the page you arrived from, and the page you were on before submitting a form
  • Your browser type, device type and operating system
  • The approximate location derived from your IP address
  • The date and time of your visit

We record your IP address alongside enquiry form submissions, and we use it to detect and prevent spam and fraudulent submissions. Your IP address is also included in the information we send to Google Analytics when an enquiry form is submitted.

4. Why we use your information, and our lawful basis

  • Replying to your enquiry and providing a quotation. Lawful basis: steps taken at your request before entering a contract, Article 6(1)(b).
  • Providing services you have booked. Lawful basis: contract, Article 6(1)(b).
  • Detecting and blocking spam and fraudulent form submissions, to keep the Site secure and usable. Lawful basis: legitimate interests, Article 6(1)(f).
  • Measuring how the Site is used and improving it, so we understand which pages and services are of interest. Lawful basis: consent, Article 6(1)(a).
  • Advertising, measuring our adverts, and showing you adverts after you visit. Lawful basis: consent, Article 6(1)(a).
  • Handling a job application, to assess your suitability for a role. Lawful basis: steps taken at your request before entering a contract, Article 6(1)(b).
  • Keeping records for accounting, insurance and legal claims. Lawful basis: legal obligation, Article 6(1)(c), and legitimate interests, Article 6(1)(f).

Where we rely on consent, you can withdraw it at any time. See section 9.

We do not sell your personal information, and we do not use it to make automated decisions that produce legal or similarly significant effects about you.

5. Cookies and similar technologies

Cookies are small files stored on your device. We use them to make the Site work, to understand how it is used, and, where you consent, for advertising.

Strictly necessary. These are required for the Site to function and cannot be switched off:

  • Sparrow Crane Hire: remembers your cookie preferences.
  • Cloudflare: security, bot protection (Turnstile on our forms) and content delivery.
  • Cloudways and Breeze: website hosting and page caching.

Analytics. Used only with your consent:

  • Google Analytics (Google Ireland Limited): measures pages viewed, enquiries submitted, and clicks on our telephone and email links, so we can see which services people are interested in.

Advertising. Used only with your consent:

  • Google Ads (Google Ireland Limited): measures which adverts lead to enquiries, and allows us to show adverts to people who have previously visited the Site.
  • Meta Pixel (Meta Platforms Ireland Limited): records your visit so we can understand traffic arriving from our Facebook and Instagram pages, and build audiences for advertising.
  • LinkedIn Insight Tag (LinkedIn Ireland Unlimited Company): records your visit so we can understand traffic arriving from our LinkedIn page, and build audiences for advertising.

You can withdraw your consent at any time by clearing the cookies your browser has stored for this Site, or by using your browser's privacy settings to block them.

6. Who we share your information with

We share personal information only with organisations that help us run our business, and only so far as they need it. These are:

  • Hosting and infrastructure: Cloudways, running on DigitalOcean servers in London.
  • Security and content delivery: Cloudflare.
  • Email delivery: Microsoft, which we use to send and receive enquiry emails.
  • Spam filtering: Akismet, operated by Automattic.
  • Analytics and advertising: Google, Meta and LinkedIn, as set out in section 5, and only where you have consented.
  • Professional advisers, insurers and auditors where necessary.
  • Law enforcement or regulators where we are legally required to do so.

We do not sell or rent your personal information to anyone.

7. International transfers

Some of our suppliers are based outside the UK, principally in the United States. Where personal information is transferred outside the UK, we rely on safeguards approved under UK data protection law. These are the UK International Data Transfer Addendum to the European Commission's Standard Contractual Clauses, or the UK Extension to the EU-US Data Privacy Framework where the supplier is certified under it.

You may request details of these safeguards using the contact details in section 1.

8. How long we keep your information

  • Enquiries that do not lead to a booking: 24 months from your last contact with us.
  • Customer records and job files: 7 years after the end of our business relationship, to meet accounting and insurance requirements.
  • Job applications from unsuccessful candidates: 12 months, unless you ask us to keep them for longer.
  • Website analytics data: up to 14 months in Google Analytics.
  • Advertising audience data: up to 30 days in Google Ads for website visitors, and up to 180 days for people who have enquired.

At the end of these periods we delete the information or anonymise it.

9. Your rights

Under UK data protection law you have the right to:

  • Access the personal information we hold about you.
  • Rectify information that is inaccurate or incomplete.
  • Erase your information, in certain circumstances.
  • Restrict how we use your information, in certain circumstances.
  • Object to our use of your information where we rely on legitimate interests.
  • Portability, to receive certain information in a machine readable format.
  • Withdraw consent at any time where we rely on it, including for cookies and advertising.

To exercise any of these rights, contact us at info@sparrowcrane.co.uk. We will respond within one month. We may ask you to confirm your identity first. You will not usually have to pay a fee.

If you are unhappy with how we have handled your personal information, please contact us first at info@sparrowcrane.co.uk so we can try to put it right.

The Site is intended for business customers and is not directed at children. We do not knowingly collect personal information from anyone under 18.

12. Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed. Where changes are significant we will draw attention to them on the Site.
